Instructions for Filling Out Web Forms for Pension Insurance Companies

The Croatian Financial Services Supervisory Agency (HANFA) issued these instructions on June 17, 2026, to guide pension insurance companies on completing mandatory web forms for regulatory reporting. The document details the specific data fields and submission requirements for four categories of notifications: general company data, legal entity stakeholders, natural person stakeholders, and non-standard electronic documents. It mandates that all changes be reported via the reports.hanfa.hr system with supporting PDF documentation, covering updates to corporate identity, capital, management, and key compliance functions.

Instructions for Filling Out Web Forms for Pension Insurance Companies

Based on Article 15, point 7 of the Act on the Croatian Financial Services Supervisory Agency ("Narodne novine" No. 140/05 and 12/12), the Croatian Financial Services Supervisory Agency (hereinafter: HANFA) adopts on the session of the Board of Directors held on June 17, 2026:

INSTRUCTIONS FOR FILLING OUT WEB FORMS FOR PENSION INSURANCE COMPANIES

1. Introduction

The Instructions contain a description of the content completion of the web forms listed below for pension insurance companies. The web forms are publicly available on the pages reports.hanfa.hr. Technical details regarding the preparation and processing of web forms and their submission to the computer system of the Croatian Financial Services Supervisory Agency (hereinafter: HANFA) are prescribed by the Technical Instruction for the Use of the System for Data Submission in Electronic Form of the Croatian Financial Services Supervisory Agency reports.hanfa.hr.

The web forms for pension insurance companies are:

  1. Notifications of registration and change of general data of supervised entities

    By selecting this type of form, the pension insurance company provides information on:

    • Change of company name
    • Registration and change of headquarters/business address
    • Change of contact details
    • Change of business scope
    • Registration and change of share capital
  2. Notifications of registration and change of relevant business entities (legal persons)

    By selecting this type of form, the pension insurance company provides information on:

    • Registration of founders and registration and change of company members
    • Registration and change of shares in other legal entities
    • Registration and change of external auditor
    • Registration and change of key function for compliance monitoring
    • Registration and change of key function for risk management
    • Registration and change of key function for internal audit
    • Registration and change of key function for actuaries
  3. Notifications of registration and change of relevant business entities (natural persons)

    By selecting this type of form, the pension insurance company provides information on:

    • Registration and change of management board members and executive directors
    • Registration and change of supervisory board members
    • Registration of founders and registration and change of company members
    • Registration and change of prokurists (authorized signatories)
    • Registration and change of key function for internal audit
    • Registration and change of key function for compliance monitoring
    • Registration and change of appointed authorized actuary
    • Registration and change of key function for actuaries
    • Registration and change of key function for risk management
  4. Pension insurance companies – submission of electronic documents

    Pension insurance companies, by selecting this type of form, submit documentation that is not standardized through the form of the three types of forms listed above.

2. Forms for Pension Insurance Companies

Pension insurance companies submit documentation to HANFA in the manner prescribed by these Instructions in accordance with their obligations arising from the Act on Pension Insurance Companies and subordinate regulations (e.g., primarily regular reports and reports requested by HANFA according to the relevant rulebook).

For each type of web form, the following fields must be completed as shown in the table and image.

2.1. MOD - Notifications of registration and change of general data of supervised entities

2.1.1. Change of Company Name

This form applies to cases where the company changes its name, including cases where it adds the designation "in liquidation," and in addition to the new name, the date of the decision on the relevant change must be entered.

This form applies to the change of the company's headquarters and business address, and new data must be entered according to the form.

2.1.3. Change of Contact Details

The company may use this form to provide information on the change of general contact details of the company, although this submission is not prescribed by subordinate acts.

2.1.4. Change of Business Scope

This form applies to the change of the company's business scope, for which prior approval from HANFA must be obtained; therefore, the date of change entered is the date of registration in the court registry.

2.1.5. Registration and Change of Share Capital

This form applies to changes in the amount of share capital, whether an increase or decrease, and therefore the new amount of share capital is entered, and the date of registration of the increase or decrease of this capital in the court registry is entered.

2.2. MOD - Notifications of registration and change of relevant business entities (legal persons)

2.2.1. Registration of Founders and Registration and Change of Company Members

This form applies to membership in the company, specifically to members who are legal persons, and founders are entered upon the establishment of the company and members when other persons are entered as shareholders. Data about the member is entered and it is selected whether the level of participation is to be considered a qualifying share or not, as well as the date of the legal transaction of acquisition or disposal of the share/stock.

This form enters the person - management board member and their personal data according to the offered fields and dropdown menus, under the date of appointment, the start date of the mandate is entered upon new registration, together with the expected expiration date of the mandate. When entering the early termination of the mandate of an existing management board member, only the date of termination of the mandate is entered.
