DCM Circular Letter No. 02: Sending the monthly report regarding mutilated and soiled notes by Banks

Scheduled banks in Bangladesh must submit a monthly consolidated report of mutilated and soiled notes received from the public to the Department of Currency Management. Branches outside the Dhaka region must send their reports to the respective Bangladesh Bank office, while the head office must email soft copies in Excel format and scanned forwarding letters in PDF format to gm.dcm@bb.org.bd and relevant officials by the 28th of the following month. All previous instructions regarding this reporting remain unchanged.

Dear Sir,

Regarding the submission of the monthly statement on the acceptance of torn, soiled, and dirty notes.

Reference is invited to this Department's Circular Letter No. Iss:23(Policy)/2005-345 dated 22/08/2005, Letter No. Iss:23(Policy-Scheduled)/2019-363 dated 22/01/2019, and Letter No. Iss:114/2021-2227 dated 22/06/2021.

  1. In light of the aforementioned Circular Letters and Letters, the following instructions are issued regarding the submission of monthly statements on the acceptance of torn, soiled, and dirty notes by the branches of Scheduled Banks:

(a) The head office of the bank must send the consolidated monthly statement of torn, soiled, and dirty notes accepted from the public by all branches of the bank to this Department via email (gm.dcm@bb.org.bd and the emails of relevant officials) by the 28th of the following month. Only the soft copy (in Excel format) and the scanned copy of the forwarding letter (in PDF format) are to be sent.

(b) The corresponding statements of branches located outside the Dhaka region of the bank must be sent to the Bangladesh Bank office located in the respective region in due course.

  1. All other instructions contained in the aforementioned Circular Letters and Letters remain unchanged.
