  1. Introduction. The Electronic Platform for Data Collection and Analysis is an electronic data application based on the eXtensible Business Reporting Language (XBRL). The Central Bank of Jordan's use of this platform represents a qualitative leap in obtaining data from entities under its supervision and monitoring. Unifying all data submitted by these entities into XBRL format facilitates information aggregation and organization, thereby simplifying and accelerating the analysis process for the Central Bank of Jordan.

1.1 Objective of the Platform/System. The objective of using the electronic system is to store financial data collected from entities subject to the supervision and monitoring of the Central Bank of Jordan in XBRL format and use it for business intelligence.

1.2 About this Guide. Target Audience. The target audience for this guide is the relevant entities subject to the supervision and monitoring of the Central Bank of Jordan, which use this platform to verify, approve, or reject files. This platform can also be used to create and manage user accounts and configure their interfaces on the iFile platform.

What does this guide contain? This guide outlines platform/system management procedures and also explains how to manage user accounts, manage data forms uploaded by the relevant entities/establishments, and handle general platform/system settings.

Page 5 2. Logging into the Platform/System. 2.1 Login The user logs into the platform/system using their personal credentials approved for access. For new users, the platform/system will send the approved login credentials via the email address designated by the new user. The image below shows the main page for the login process on the platform/system. Image: Login page on the Platform/System. To log in to the platform/system, follow these steps:

  1. Enter the username in the "Username" field.
  2. Enter your password in the "Password" field.
  3. Enter the verification text found in the box into the "Verification Text" field.
  4. Then click the "Login" button to access the platform/system.
  5. If you are logging into the platform/system for the first time, a one-time password sent to the email address you registered initially will be used. A new page will then appear requesting you to change your password, as well as select a security question and set an answer, which will be used for password recovery.

Page 6 Image: Password Change Page. 2.2 Automatic Session Logout/Session Expiration The platform/system features an automatic logout upon session expiration. If a user logs in but performs no actions for more than 5 minutes (e.g., does not fill in information, save information, or navigate between pages), the system screen will automatically close, and a logout screen will appear when attempting any action after this time. The user will need to log in again to resume work. Before the session expires, a pop-up message will inform the user that the session will expire within 20 seconds. If a user closes the internet browser without logging out of the platform, they must wait for the specified session expiration time before they can log in to the platform again.

2.3 Forgot Password? Login Screen > Forgot Password? If a user forgets their password on the platform/system, they can reset it after the platform verifies the details entered during the initial login.

  1. Click "Forgot Password?" on the login screen. The screen shown above, dedicated to password reset, will appear.
  2. Enter the username in the "Username" field.
  3. Select "Security Question" from the dropdown list.
  4. Enter the answer to the question chosen during the initial login in the "Security Question Answer" field.
  5. Enter the verification text displayed on the screen in the "Verification Text" field.
  6. Upon clicking the "Send" button, a one-time temporary password will be sent to the email address registered on the platform.

2.4 Role Switching Feature. Image - Role Switch Option.

  1. Users who have multiple roles or different permissions on the platform/system will see an icon for multiple users in the upper right corner of the main portal page, enabling these users to switch between granted roles more easily.

Page 8 2. The user can switch between different granted roles/permissions by clicking on the desired Role/Permission (as shown in the image above), and the application will automatically display all pages related to that Role/Permission for use.

  1. Using the Platform/System. The operations that can be performed on the platform/system are divided into six categories:
  2. System Administrator.
  3. IT Settings.
  4. Downloads.
  5. Uploading Data Forms.
  6. Reports.

Page 9 3.1 Grid Details. All grids in the system have the following features:

  1. Sorting (ascending/descending) of data in a single column.
  2. Searching within a single column.
  3. Ability to export data in PDF or Excel format.

3.2 Profile. The user can view or modify their profile or change their password by clicking the "View Profile" icon. If the user wishes to modify their profile, they must click the "Edit Profile" option and then modify the required personal data. If the user needs to change their password, they will go to the "Change Password" option and then set a new password. The "Change Security Question" option is used when a new security question needs to be set. To unsubscribe from a specific email, the user clicks the "Unsubscribe from Email" option, deselects the desired email, and then clicks the "Send" button. Image: Edit Profile Screen.

Page 10 4. System Administrator. The user with the permission from the relevant entity/establishment can manage the platform/system using this option, which includes 9 other sub-items.

4.1 User Management. System Administrator > User Management.

4.1.1 Modifying User Accounts. The user who can access this screen is the "File Manager" of the relevant entity/establishment. They can change or modify the information of any other users on the platform by following these steps:

  1. Log in to the platform/system using the Role/Permission that allows you to modify platform user accounts.
  2. Click the "Modify User Accounts" menu from the menu bar (System Administrator > User Management > Modify User Accounts).

The authorized user managing accounts can determine the roles/permissions performed by other users by clicking the "User Role" option from the dropdown list, selecting the desired Role/Permission, and clicking the "Send" button. All platform users appear on the grid, and their permissions can be modified by clicking the "Edit" button for the desired user. Image: Modify User Information Screen. 5. The user responsible for modifying user accounts can modify the following information:

  • Last Name.
  • Phone Number.
  • Modify Password.
  • Activate User Status (Active/Inactive).
  • Determine Permissions/Roles for the User. Clicking the "Send" button will modify the user information and display it on the grid.

4.1.2 Adding a User Specific to the Data Owner Entity/Establishment. The File Manager (Admin Filer) authorized by the relevant entity/establishment can access this option and create new users for entities by following these steps: Log in to the platform/system using the user role that has sufficient permissions to add new users to the platform/system.

  1. Click the "Add User Specific to Entity/Establishment" menu from the menu bar (System Administrator > User Management > Add User Specific to Data Owner Entity/Establishment).

  3. Fill in the basic required data to create a new user.
  4. Select the Role/Permission to be granted to the new user, the Category, Sub-category, and Institution from the fields designated for each option.
  5. Click the "Assign" button.
  6. The image below shows the screen that will appear to the user.

The email identifier must be unique to avoid creating more than one user for the same person. 8. Login credentials for the new user are sent via email. 9. The same user cannot be added to more than one entity/establishment. 10. The Roles/Permissions granted to users are visible on the grid, with the option to hide the Role/Permission from the grid. 11. Click the "Save" option.

4.1.3 Viewing Authorized/Registered Users from the Data Owner Entity. Information on "Users of the Data Owner Entity/Establishment" can be displayed by following these steps:

  1. Log in to the platform/system using the Role/Permission authorized to view users on the platform/system.
  2. Select the "View Users for Entity/Establishment" menu from the menu bar (System Administrator > User Management > View Users for Entity/Establishment).

  4. All available users are displayed on the grid. The authorized user can click the "View" button for the desired user. The user information view screen appears as follows:

4.2 Managing the Data Owner Entity/Establishment. Some user roles/permissions at the Data Owner Entity/Establishment act as administrators responsible for the entity itself. These users can manage these entities on the platform/system.

4.2.1 Modifying Entity Account. Authorized users can modify the information of the relevant entity on the platform/system by following these steps:

  1. Log in to the platform/system with the username authorized to modify entity/establishment information.
  2. Select the "Modify Entity/Establishment Information" menu from the menu bar (System Administrator > Manage Entity > Modify Entity/Establishment).
  3. The screen shown in the image below will appear to the user.

The user can modify the required information and then click the "OK" button to save changes. 5. The user can only modify the email identifier. 6. Click the "Cancel" button to close the pop-up window. 7. Click the "OK" button to save changes to the system.

Page 16 4.3 Managing Approvals. The role of the user responsible for managing approvals is to approve or reject data uploaded to the platform/system. If the automatic approval option is not enabled, some data uploaded to the platform/system requires prior approval from another authorized user from the relevant entity to approve or reject it. The authorized user can reject or accept data uploaded to the platform/system by following these steps:

  1. Log in to the platform/system using the username authorized to reject or approve data uploaded by entities.
  2. Click the "Manage Approvals" menu from the menu bar (System Administrator > Manage Approvals).
  3. The screen shown in the image below will appear. Image: Manage Approvals Screen.
  4. The authorized user selects the link containing information requiring approval or rejection.

Page 17 5. IT Settings. Several authorized users of the platform/system have permissions to change some settings on the platform/system. These modifiable settings are summarized as follows:

5.1 Email Messages. The user with the permission to modify email can view notifications sent to users' email addresses from the platform/system by following these steps:

  1. Log in to the platform/system using the username authorized to view email notifications.

  2. Click the "Email" menu from the menu bar (IT Settings > Email).

  3. The screen shown in the image below will appear. Image: View Email Screen.

  4. All messages sent from the platform/system to users will appear.

  5. Unread messages appear in bold, and the user can view all messages via the platform/system itself.

  6. Downloads. The user with this permission/role can download various information and tools displayed on the platform/system.

Page 18 6.1 Download/Install iFile Tool. The user with the permission/role downloads/installs the iFile Tool/Application specific to the platform/system. This option also allows the authorized user from the entity uploading data to the platform/system to download/install the iFile Tool/Application on their devices, helping these users create data forms using XBRL format, which is the required format for data uploaded to the platform/system. Authorized users can download/install the iFile Tool/Application by following these steps:

  1. Log in to the platform/system using the username authorized to download/install the iFile Tool/Application.
  2. Select the "Download/Install iFile Tool" menu from the menu bar (Downloads > Download/Install iFile Tool).

6.2 Download Attachments. The user with this permission/role downloads attachments to the platform/system. The purpose of this option is to allow users authorized by the Data Owner Entity/Establishment to upload additional attachments required by the regulatory authority to the system.

Page 19 To enable the authorized user to download additional attachments, follow these steps:

  1. Log in to the platform/system using the username authorized to download additional attachments.

  2. Click the "Download Additional Attachments" menu from the menu bar (Downloads > Download Additional Attachments).

  4. The user can then download the required attachments.

  5. Uploading Data Forms. The user responsible for uploading data/files (Maker) specific to the Data Owner Entity fills in the various data forms on the platform/system on behalf of the entity/establishment they represent.

7.1 Data Form Review Requests. The user with the permission to upload data forms (Maker) or the Data Checker user submits a request to review data forms by following these steps:

  1. Log in to the platform/system using the username authorized to submit data review requests on the platform/system.
  2. Select the "Data Review Requests" menu from the menu bar (Files > Data Review Requests).
  3. The image below shows the screen that will appear to the user. Image: Data Review Requests Screen.
  4. The user fills in certain information to create review requests.
  5. The Entity/Establishment code appears automatically, and the data form to be reviewed is selected from the dropdown list that appears to the user.
  6. The form reference code, form periodicity, fiscal year format, and description of request reasons also appear.
  7. Click the "Send" button to save the data after completing the requirements. The review request is then sent to the Central Bank of Jordan to obtain their response to the submitted request.
  8. To clear all data from the page and refresh it, click the "Reset" button, allowing you to fill in new data on the page.
  9. The Central Bank of Jordan approves or rejects the submitted request, and based on this, the approval or rejection of the request is sent via email.

Page 21 7.2 Unblocking Requests. The user responsible for uploading data (Maker) or the Data Checker (Checker) submits unblocking requests on the platform/system by following these steps:

  1. Log in to the iFile platform using the username authorized to perform unblocking requests.
  2. Select the "Unblocking Requests" menu from the menu bar (Data Forms > Unblocking Requests).
  3. The image below shows the screen that will appear to the user. Image: Unblocking Requests Screen.
  4. The user fills in certain information to create an unblocking request.
  5. The Entity/Establishment code appears automatically, and the data to be unblocked is selected from the dropdown list that appears to the user.
  6. The reference code, form periodicity, fiscal year format, and description of request reasons also appear.
  7. The user must clarify the reasons for the unblocking request.
  8. Click the "Send" button to save the data after completing the requirements. The unblocking request is then sent to the Central Bank of Jordan to obtain their response.

Page 22 9. To clear all data from the page and refresh it, click the "Reset" button, allowing you to fill in new data on the page. 10. The Central Bank of Jordan approves or rejects the submitted request, and based on this, an email is sent to the user.

7.3 Uploading Data Forms. The authorized user uploading data (Maker) uploads data forms for the relevant entity/establishment in XBRL format to the platform/system to submit to the regulatory authority by following these steps:

  1. Log in to the platform/system using the username authorized to upload data forms to the platform/system.
  2. Select the "Upload Data Form" menu from the menu bar (Submit Data Forms > Upload Data Forms).
  3. The figure below shows the screen that will appear to the user. Image: Upload Data Forms Screen.
  4. The user fills in certain information to start the process of uploading an XBRL format file.

Page 23 5. The Entity/Establishment code appears automatically, and the data forms to be uploaded in XBRL format are selected from the dropdown list that appears to the user. 6. The form reference code, form periodicity, fiscal year format, and description of periodicity also appear. 7. After filling in the required information, click the "Send" button to save the data. It is then sent to the Data Checker (Checker), and subsequently, the data upload request reaches the Central Bank of Jordan to obtain their response. 8. To clear all data from the page and refresh it, click the "Reset" button, allowing you to fill in new data on the page. Image: XBRL Data Form Approval Grid Screen (Continued). 9. A notification is sent to the Checker (Checker) when the user sends data upload forms, whether in XBRL format or otherwise. The Checker then approves or rejects this data. 10. The tracking feature gives the user the ability to monitor the status of forms uploaded on the platform's grid. 11. The Checker (Checker) can view and verify data forms in XBRL format, then approve or reject them. 12. Upon the Checker's (Checker) approval of the data forms, they are downloaded to the Central Bank of Jordan's database as a final step.

Page 24 13. If the Checker (Checker) rejects the data, a notification is sent to the user who uploaded the data (Maker) so that appropriate action can be taken to upload the data again. 14. To ensure the data form upload process was smooth, the status of the uploaded data should appear as "Accepted."

7.4 Uploading Dynamic Forms. To allow the user responsible for uploading data to upload dynamic forms to the platform/system to submit to the regulatory authority, follow these steps:

  1. Log in to the platform/system using the username authorized to access the Upload Dynamic Forms option on the platform/system.
  2. Select the "Submit Form" menu from the menu bar (Submit Form > Upload Data Form).
  3. The figure below shows the screen that will appear to the user.
